This page explains how to delete data held by AI Smarty, a product of Atom Software Ltd. It covers deleting your whole account, deleting individual items, and asking us to do it for you.

1. Delete your account from within AI Smarty

The fastest route is self-service, and it takes about a minute.

  1. Sign in and open Settings, then Profile.
  2. Optional but recommended: choose Export Your Data first. This downloads your profile, AI agent configuration, conversation history, lead forms and analytics summary. Once deletion runs, we cannot recover it for you.
  3. Choose Delete Account and confirm with your password.

Access ends immediately, your AI agents stop serving, and your organisations are closed. Deletion is permanent and cannot be undone.

If you have an active paid subscription, cancel it first under Settings then Billing. Accounts with a live subscription cannot be deleted, so that nobody loses a service they are still paying for.

2. Delete individual items instead

You do not have to delete everything to remove specific data.

  • An AI agent, with everything it holds, from the agents list.
  • A knowledge source, from an agent’s Setup tab. Deleting the source also deletes the uploaded file and everything derived from it.
  • Conversations, from the agent’s test chat or analytics view.
  • Leads and form submissions, from the agent’s Leads tab.

3. Ask us to delete it for you

If you cannot sign in, or you would rather we handled it, email [email protected] from the address on the account. Include the account email and what you want removed.

We complete deletion requests within 30 days, and normally much sooner. We may ask you to confirm your identity first, so that nobody else can delete your data.

4. What is removed

Deleting your account removes:

  • your profile, login credentials and authentication sessions;
  • your AI agents and their configuration;
  • conversations and messages held by those agents;
  • uploaded files, along with the extracted text, search indexes and thumbnails built from them;
  • leads, form submissions and uploaded photos;
  • appointments and booking records;
  • your notification settings and preferences.

Where you share an organisation with other people, deleting your own account removes your account and profile only. Data owned by the organisation stays with its owner.

5. What we keep, and why

A small amount of data outlives deletion because the law requires it. We keep only what the obligation needs, and we do not use it for anything else.

  • Billing and accounting records, including invoices and payment history, for six years after the end of the relevant financial year. This is a UK statutory requirement.
  • Data under a legal hold, for the duration of that hold, where we are required to preserve it for a dispute, a regulator or law enforcement.

Encrypted backups rotate on a cycle shorter than our deletion window, so deleted data does not linger in them. Backups are used only for disaster recovery, and anything restored after deletion is deleted again. Full detail is in our Data Processing Agreement.

6. If you contacted a business that uses AI Smarty

If you chatted with an AI agent on another company’s website, that company controls your conversation and any details you gave, and AI Smarty processes it on their behalf.

Contact that business directly to have it deleted. If you cannot reach them, email [email protected] and we will pass your request on and tell you who the relevant company is.

7. Contact

Questions about deletion, or anything else about your data, go to [email protected]. Our Privacy Policy explains your wider rights, including access, correction and portability.
